Hello Advising Network,

It’s February and the days will be getting longer before we know it! 🌞

You may notice this newsletter looks slightly different and comes from a slightly different cloudmail email address, in line with the university's new mass email platform. However, it still contains the same great content, and you can continue to email advisingnetwork@torontomu.ca with any questions.

Curriculum Advising - Application to Graduate

*Students should review their academic progress to determine if they are nearing completion of all their program requirements for graduation. Complete details of their progress can be found in their Academic Advisement Report.

An Application to Graduate must be submitted if students are enrolled in their final course, semester or year of study. Students should not wait for final grades before applying to graduate.

Scheduling

Information regarding final exam requests, course offerings and student course intentions has been sent to each department’s representative.

Processing Incomplete Grades (INCs)

As per Policy 170(a), undergraduate students enrolled in a course for which the prerequisite has an outstanding incomplete (INC) grade have been dropped from the course in which the prerequisite requirement was not met by Monday, January 27, 2025. The Registrar’s Office informs students once the courses have been dropped. See Policy 170(a), Procedures, Section 3.8 for complete details.

Undergraduate, Chang School and Law students must resolve outstanding INC grades assigned in the Fall 2024 term by the three-month deadline. All unresolved INCs will lapse to F grades on April 15, 2025 for undergraduate, Chang School and law courses. See Policy 170(a) and (c) for details.

Dean’s List

Changes to the Dean’s List will be implemented this month when the award is posted to the records of eligible students for the fall 2024 term. Starting fall 2024, the Dean’s List is applied to eligible full-time program students’ records at the end of each term.

For part-time program students, further improvements will be introduced after the winter 2025 term. Award eligibility for part-time program students will be automatically reviewed once per academic year—at the end of the winter term if graduating in spring, or at the end of the spring/summer term if continuing their studies.

These changes are designed to streamline the administration of awards and clarify eligibility requirements, particularly for students requiring special consideration (e.g. required to take a reduced course load as a result of an accommodation with AAS) and those in part-time programs.

Each faculty office will provide detailed information about eligibility criteria, communicate award notifications, and share guidelines for special considerations with their students and staff.

Course Intentions

The course intentions period will take place from Thursday, March 6, 2025 at 6 a.m. to Wednesday, March 12, 2025 at 11:59 p.m. It is crucial for undergraduate students enrolled in full-time programs to participate in this process, as it assists programs and faculties with course planning and offers several benefits to students, including access to priority enrolment dates.

We encourage you to promote this process to your students. Additional resources and messaging materials will be shared in February to support your communications.

The ServiceHub will send two email reminders to students about the course intentions period:

  • Wednesday, March 5, 2025: To full-time program undergraduate students informing them of the upcoming course intention period

  • Tuesday, March 11, 2025: A final reminder advising students they have one day remaining to submit their course intentions.

Additionally, a message will appear on the my.torontomu.ca portal during the course intention period to remind students about the course intention period.

ServiceHub Chatbot

The ServiceHub has recently launched a new chatbot, currently in the beta testing phase. Students can access it through the ServiceHub Contact page. Additional features will be rolled out soon, including live agent support during office hours and expanded availability on more web pages. This chatbot aims to improve accessibility to our services and help us efficiently meet the growing demand from applicants and students.
